Provides transactional and operational support across the contracts process. Responsible for coordinating contract intake and assisting with assignment, reviewing agreements for required information and key terms, maintaining accurate data within the contract lifecycle management (CLM) system, and facilitating contracts through internal review, approval, and execution. Works under the guidance of Contract Managers and attorneys to support the progression of contract matters from initiation through signature and finalization. This role requires the ability to read and understand routine contracts, identify key terms and data elements, and ensure contracts are complete, properly routed, and executed in accordance with organizational policies. Focuses on high-volume, routine agreements and administrative execution of contracting processes, enabling Contract Managers and attorneys to focus on negotiation, risk assessment, and complex matters.
Essential Functions
Reviews incoming contracts for completeness and identifies key contractual terms (e.g., parties, term, renewal, payment terms, governing law) for entry into CLM
Extracts and inputs contract metadata into CLM system, ensuring accuracy and data integrity
Coordinates contract intake, triage, and assignment in accordance with established procedures
Routes contracts for review, internal approvals, and signature using established workflows
Tracks contract status, monitors deadlines, responds timely to stakeholder queries, and proactively follows up to ensure timely execution.
Manages end-to-end signature process for assigned matters, including coordinating approvals and ensuring proper execution sequencing
Identifies missing or inconsistent information and escalates to Contract Managers or attorneys as appropriate
Maintains and updates contract and matter data in electronic matter management/CLM systems
Assists with standard template selection and ensures use of current approved forms
Performs basic comparison of contract versions and supports redline tracking as needed
Serves as liaison between internal stakeholders, Legal, and external parties for status updates and routine coordination
Supports matter management activities including opening, tracking, and closing contract records
Generates basic reports related to contract status, volume, and cycle times
Assists with development and maintenance of contracting processes, workflows, and job aids
Supports special projects related to CLM implementation, optimization, and data quality
Qualifications
Associate's Degree in paralegal studies or a related field (Required). Paralegal certificate may be accepted instead of a degree
2+ years of relevant experience required // Paralegal certificate preferred
Ability to read and understand routine contracts and identify key provisions and required data elements
Strong attention to detail with high accuracy in data entry and document handling
Basic understanding of contract lifecycle processes and document workflows
Salary Range: $24.32/hour - $40.16/hour. Compensation will be commensurate with equity and experience for roles of similar scope and responsibility.
