The Administrative Coordinator II is under moderate supervision, schedules all surgery and block cases assuring that the schedule operates in an orderly fashion by communicating and interacting with OR, PACU, Admitting and surgeon offices.

Major Responsibilities:

  • Schedules procedures and enters data from surgery posting sheets accurately and completely.
  • Collects insurance data, authorization numbers (if available from office), CPT codes and approvals.
  • Collaborates with OR and PACU Clinical Coordinators in TCAS and OR Charge Nurse and Director or designee, if needed, to finalize daily schedule with consideration given to utilizing time wisely, performing conflict checks and maximizing flow of cases and patients.
  • Interacts with physician office staff to clarify:
  • Special equipment or supplies for scheduled cases. Informs OR management and/or Materials Management of special case needs.
  • Anesthesia requests.
  • Communicates other pertinent information as necessary to physician offices and OR staff.
  • Communicates with TCAS Admitting regarding cancellations to current or next day's schedule.
  • Communicates problems with the MSM system to OR management and/or Systems Administrator to prevent downtime to system.
  • Maintains open lines of communication with the TCAS Nurse Manager for all posting related problems. Recognizes Nurse Manager as the final authority in decisions regarding procedure case length, moving and adding cases.

Education & Experience:

  • High school diploma or general education diploma (GED).
  • Previous experience as a posting secretary or completion of unit secretary training course.
  • Experience with an OR data system helpful.
  • Must have computer experience.

Skills & Abilities Required:

  • Knowledge of medical terminology, CPT codes.
  • Excellent communication skills are essential.
  • Proficiency in Microsoft Word.
  • Must be able to type 35 wpm.

Salary Range: Minimum 16.65/hour - Maximum 27.50/hour. Compensation will be commensurate with equity and experience for roles of similar scope and responsibility.
