Work and Education Requirements:

  • 2 years of college credits.
  • 5 years supply chain experience with one year of prior leadership experience is required. Experience in a warehouse, hospital supply chain or customer service role preferred. Experience in surgical services or procedural area environment preferred.
  • If no college credits, you must have 9 years of supply chain experience and 1 year of prior leadership

Shift:

7am-3:30am M-F

Position Summary:

Reporting to the Manager, Supply Chain Operations and under direction from supply chain leadership on activities and strategic decisions for the department, this position is responsible for the day to day oversight of all Supply Chain Coordinators and materials management functions within the department. This role will serve as the liaison between local hospital operations and the CSC (CSC) and will be held accountable to the accuracy of sort codes and unit-based deliveries. The position will have responsibility for the oversight and function of the core supply chain areas, including all inventory locations and the loading/receiving dock, and will review, oversee and implement productivity goals for all supply chain coordinators, that align with the Corporate Supply Chain’s department strategic vision.

Other responsibilities include:

  • Reviewing and dividing daily workloads amongst direct reports to ensure that all supplies are delivered within 24 hours of arrival to the institution.
  • Completing daily rounding to clinical units to review and ensure supplies are put away properly, and engaging with clinical leads during rounding process as a means of identifying, addressing or escalating any issues associated with supply handling within the hospital and CSC deliveries, including mis-picks, over shipments and inaccurate labels, to the CSC team within 24 hours of receipt of the issue.
  • Reviewing on a weekly basis goods receipt, goods issue and cycle count adjustment transactions to identify and correct any abnormalities
  • Ensuring team adopts and follows safety protocols, policies, procedures and performance standards as put forth by the institution.
  • Identifying areas for operational improvements to meet and exceed productivity measures

Knowledge:

  • Knowledge of SAP transactions and inventory control protocols is required.
  • Knowledge of healthcare supplies and materials management operations are required.
  • Knowledge of customer service protocols and ability to communicate effectively with peers, management, departmental stakeholders, patients, staffs and visitors is required.
  • Ability to read, write and have the mathematical ability at a 12th grade level is required.
  • Ability to utilize and engage with inventory management software is required.

Skills:

  • Engages with clinical partners to resolve urgent product issues, supply area configuration opportunities and performance issues with supply chain coordinators
  • Reviews & allocates daily work and assignments amongst supply chain coordinators
  • Ensures that productivity targets for supply put away, reordering and receipts are met by all coordinators and orchestrates performance improvement measures when goals are not achieved
  • Coordinates with CSC to identify and resolve delivery and sort code issues to ensure productivity is maximized for all coordinators
  • Oversees parcel receiving process and ensures that all packages are delivered to requesting location on the same day of their arrival at the hospital
  • Orchestrates all activity associated with product conversions and ensures an on time and accurate completion of the conversion process
  • Manages the inventory management solution that is used in all supply areas, including the configuration and layout of the room, testing of all hardware and software to minimize downtime and performs root cause analyses on operational issues associated with system and resolves or escalates issues appropriately
  • Provides feedback to manager or director on areas of improvement opportunities
  • Performs weekly audit of SAP transactions for covered areas to identify and correct abnormalities or errant adjustments
  • Ensures that all health system safety protocols, policies, procedures and performance standards are being followed by supply chain coordinators
  • Sets goals for direct reports that align to departmental strategic objectives that are designed to promote a more efficient and accurate operating model for supply chain
  • Drafts and reviews performance evaluation forms for all direct reports by health system mandated due dates
