Position Summary:

Reporting to the Manager/Supervisor, Supply Chain Operations, this role is responsible for the management of supplies, complex inventory locations and high acuity products, within the Surgical, OR or Procedural area environments. This position has oversight of perpetual inventory items as well as the management of all special-order supplies (non-stock items). The position will be responsible for the maintenance, configuration and inventory levels for all products within the perpetual inventory, including bin configuration, labels and hardware functionality. The role will be held accountable for supply availability for all posted cases through the review of upcoming case schedules and coordination with clinical managers to ensure product availability prior to case picking for the procedure. This role will participate in daily surgical or procedural area huddles with the obligation to communicate and resolve potential supply issues, and engage with clinical leaders to remove obsolete or slow-moving inventory and adjust inventory levels to meet demand on fast-moving products.

Other responsibilities include:

  • Accountable to inventory location design and par accuracy to reflect actual historical demand, including the adjustment of pars and the escalation with clinical partners/removal of slow-moving products for the core inventory locations, carts and within the OR and/or procedural rooms
  • Process SAP inventory transactions and order non-inventory (special order supplies) for the unit
  • Regularly reviews the upcoming case schedule to ensure special order supplies are available prior to scheduled case start date
  • Alerts clinical liaisons to inaccuracies in preference cards associated with high return volume or rush item deliveries
  • Oversees the tissue implant tracking system to ensure all materials maintain cold chain and documentation requirements. Collaborates with hospital laboratory on other cold chain products such as blood and frozen implants.
  • Tracks and records all movement of consigned inventory
  • Leads & manages all product conversions to ensure physical & system adjustments are performed and sequenced appropriately
  • Participates in daily huddles with service line nurse managers and SPD to understand upcoming case volume and supply demand. Communicates potential product shortages or delays to clinical leaders and supply chain leaders to address and triage appropriately.
  • Communicates preference card issues to clinical leaders when frequent picks are made during the procedure or a high degree of returns consistently occurs after the procedure.
  • Logs and monitors cold-chain deliveries to the unit within the tissue-tracking system.
  • Manages and monitors the movement of supplies within the consigned inventory space.
  • Leads and develops with unit’s annual or bi-annual physical inventory process across all segments of supplies including, perpetual, special-order, cold chain and consigned
  • Understands department policies and procedures related to inventory vs. special order products as well as various purchasing policies

Education: High school diploma or GED.

Knowledge:

  • Work requires knowledge of departmental policies and procedures, inventory stocking and distribution
  • Knowledge of customer services protocols is required
  • Knowledge of SAP transactions and inventory control protocols is required
  • Knowledge of healthcare supplies and materials management operations are required

Skills:

  • Strong communication skills needed to effectively with peers, management, departmental stakeholders, patients, staffs and visitors is required
  • Intermediate computer systems, including inventory management systems, SAP
  • Strong problem-solving and analytical skills.
  • Ability to follow institutional guidelines and procedures, and provide direction to junior team members
  • Ability to be flexible to meet schedule needs, and handle frequent unpredictable changes.
  • Ability to work as a committed team member by contributing in a positive, enthusiastic, engaged and collaborative manner
  • Ability to read, write and have the mathematical ability at a 12th grade level is required

Required Licensure, Certification, etc.: N/a

Work Experience: Three years of supply chain experience required. Experience in a warehouse, hospital supply chain or customer service role preferred
