General Summary:
The IT Project Administrator provides end‑to‑end administrative and coordination support for the Software Intake Process (SIP), ensuring requests are effectively managed from intake through post‑implementation monitoring. This role partners closely with stakeholders across Health IT, Finance, Supply Chain, Legal, Radiology, and JHHS leadership to document requirements, coordinate next steps, and maintain clear visibility into project status, risks, and dependencies. The position is responsible for maintaining accurate SIP documentation, tracking and summarizing intake activity through dashboards and analytics, and supporting consistent communication across teams. By shepherding requests through the SIP lifecycle, the IT Project Administrator helps ensure timely processing, strong governance, and effective coordination in support of growing intake volumes and organizational priorities.
Required Education:
• BS degree preferably in Information Systems, Business Administration, Management or project management. Work experience may be substituted for a degree where appropriate.
Required Experience:
• Requires demonstrated 3 years IT experience or previous participation in IT projects
Job Responsibilities:
• Manage and coordinate the Software Intake Process (SIP) from initial request through post‑implementation monitoring
• Serve as a primary point of contact for SIP requests, ensuring timely intake, tracking, and follow‑up
• Partner with stakeholders across Health IT, Finance, Supply Chain, Legal, Radiology, and JHHS leadership to gather requirements and determine next steps
• Maintain accurate and complete SIP documentation, including intake details, decisions, approvals, and implementation status
• Track SIP activity, volumes, and trends using dashboards and analytics tools
• Prepare and distribute regular summaries and status updates for leadership and stakeholders
• Monitor SIP queues to identify risks, bottlenecks, and priority items requiring escalation
• Support governance and decision‑making by ensuring requests are reviewed, documented, and routed appropriately
• Coordinate meetings, reviews, and follow‑ups related to SIP requests and projects
• Ensure consistent communication, professionalism, and transparency throughout the SIP lifecycle
• Assist with continuous improvement of SIP workflows, templates, and tracking tools
• Support growing intake volumes, including coordination with resources assigned to AI‑related SIP requests
Preferred Qualifications:
• Strong analytical and problem‑solving skills, with the ability to evaluate information, identify patterns, and recommend next steps
• Demonstrated ability to communicate clearly and professionally, both verbally and in writing
• Self‑starter who can work independently, manage time effectively, and follow through on tasks with minimal supervision
• Strong organizational skills with attention to detail and accuracy
• Ability to manage multiple tasks or requests simultaneously in a fast‑paced environment
• Comfortable asking questions, escalating issues appropriately, and seeking clarity when needed
• Ability to collaborate effectively with diverse stakeholders, including technical and non‑technical teams
• Experience documenting information, processes, or workflows in a clear and structured manner
• Willingness and ability to learn new tools, processes, and technologies quickly
• Demonstrated professionalism, reliability, and accountability in a team environment
• Prior internship, academic, or early‑career experience supporting projects, coordination, or administrative workflows.
Salary Range: Minimum 30.53/hour - Maximum 53.44/hour. Compensation will be commensurate with equity and experience for roles of similar scope and responsibility. In cases where the range is displayed as a $0 amount, salary discussions will occur during candidate screening calls, before any subsequent compensation discussion is held between the candidate and any hiring authority.
