Position Summary
The Project Administrator for Change Control and Communications is responsible for the oversight, coordination, and daily operation of the JHHS/JHU enterprise Change Control process. This role ensures timely, accurate, and impactful communication of IT changes across the organization, maintains the enterprise change calendar, and serves as a primary liaison between technical teams, IT leadership, and operational stakeholders.

Key Responsibilities:
Enterprise Change Control Oversight
• Manage and oversee the JHHS/JHU enterprise Change Control process within ServiceNow
• Coordinate with all teams submitting change controls to ensure compliance, accuracy, and timeliness
• Serve as the primary point of contact for Change Control entries and the Change Control Microsoft Teams channel
• Review, approve, and close enterprise changes in accordance with established governance standards
• Verify that all Workflows Change Cards are updated daily by 10am and ensure adherence to the established workflow process through ongoing communication and oversight.
Change Communications & Stakeholder Engagement
• Maintain and update the Enterprise Change Control Calendar multiple times daily
• Produce and distribute daily communication of impactful changes to the Help Desk and IT Leadership audiences
• Ensure required customer-impact communications are attached to changes prior to approval
• Coordinate ad hoc communications for campus-impacting changes, facilities power tests, Epic downtimes, and change moratoriums (with delegated partners as appropriate)
Operational Execution & Quality Assurance
• Conduct daily validation of change status updates by established deadlines
• Ensure changes contain clear descriptions, accurate impact assessments, and appropriate approvals
• Manage change lifecycle exceptions including returns to logging phase, deletion of changes, and closure validations
• Document all manual or corrective actions in ServiceNow with appropriate work notes
Alertus & Compunetix Project Responsibilities
• Provide operational and project coordination support for the Alertus emergency notification system, including change management oversight, stakeholder communication, and coordination of enterprise-impacting updates
• Support implementation and ongoing change coordination for the Compunetix project, ensuring changes are properly documented, communicated, and aligned with enterprise change control standards
• Partner with technical teams, vendors, and business stakeholders to ensure Alertus and Compunetix changes are scheduled, approved, and communicated with minimal operational impact
• Managed Alertus updates through a structured process that includes regular review of available updates, testing in collaboration. Then coordinate update deployments to maintain security and stability.
• Serve as a point of continuity for change-related knowledge and communications for both platforms
Reporting & Metrics
• Prepare monthly P1 incident metrics and present updates at ICSC meetings (Homewood and East Baltimore)
• Support ServiceNow-generated reporting, including monthly P1 reports and priority alert list management

Knowledge, Skills, and Abilities
• Strong understanding of enterprise IT change management and governance
• Exceptional attention to detail and ability to manage time-sensitive operational workflows
• Clear, concise written communication skills for executive and operational audiences
• Ability to coordinate across multiple technical and non-technical teams
• Comfort operating in environments with evolving processes and institutional knowledge
Salary Range: Minimum 30.53/hour - Maximum 53.44/hour. Compensation will be commensurate with equity and experience for roles of similar scope and responsibility. In cases where the range is displayed as a $0 amount, salary discussions will occur during candidate screening calls, before any subsequent compensation discussion is held between the candidate and any hiring authority.
